Moving a wedding party around Varanasi

Weddings are the largest single category of vehicle booking in Varanasi, and the one most often left until the venue, the caterer and the priest are already fixed. By then the vehicles that fit your guest count may not exist on your date.
Start with the per-head number
The instinct is to book several tempo travellers because a bus feels excessive. The arithmetic says otherwise.

A 45-seater is the cheapest seat we sell. Moving 45 guests in one bus costs less per person than moving them in three 17-seaters, and it arrives as one group rather than three.
The shape most Varanasi weddings end up with
- One 40 to 49-seater bus for the general guest movement between hotel, venue and ghat.
- One or two 17-seater tempo travellers for the extended family, who move on a different schedule.
- Two or three cabs — usually Innova Crysta — held for the couple, immediate family and anyone who needs to move at short notice.
- A separate vehicle for the baraat if it is starting from a different point.
Hold one cab in reserve that is not on the schedule. Every wedding needs an unplanned run — a forgotten item, a late arrival at the station, someone who needs to leave early. Budget ₹2,799 for a Crysta on a 12-hour standby day and you will use it.
Book by September for a November wedding
The Varanasi wedding season runs November through February, and it collides with Dev Deepawali on 24 November 2026 — the single busiest vehicle date of the year. Large buses are the scarcest item: there are relatively few 45 and 49-seaters in the city and they commit first. Six to eight weeks is the realistic lead time; for a date in the week of Dev Deepawali, more.
The parking problem
This is the constraint that derails Varanasi wedding logistics. A 40-seater and larger cannot enter the old city and cannot reach most ghat-side venues. It needs a designated parking point — commonly Godowlia, Maidagin or the venue's own forecourt if it has one — and your guests walk from there.
Walk the route yourself, or have someone do it, before the day. Ten minutes on a map is twenty minutes for sixty guests in wedding clothes, and if elders are in the party you want to know that in advance rather than at the barricade.
What is not included
Driver allowance per vehicle per day — ₹350 for a tempo traveller, ₹600 to ₹700 for a bus. Toll, parking and state permits at actuals. GST on the invoice. Decoration of the vehicles, which we do not do but can point you at people who do. Multi-day bookings carry the driver allowance for each day the vehicle is committed to you, including days it barely moves.
Common questions
- How many buses do I need for 100 wedding guests?
- Two 49-seaters, or a 49 and a 45. At ₹57/km and ₹51/km that is roughly ₹1.15 per guest per kilometre — cheaper per head than any smaller vehicle, and the guests arrive together.
- How far in advance should I book wedding transport in Varanasi?
- Six to eight weeks for ordinary season dates. Longer for the week around Dev Deepawali, 24 November 2026, when large buses commit earliest. The bigger the vehicle, the earlier it goes.
- Can a wedding bus reach a ghat-side venue?
- No. Buses of 40 seats and up cannot enter the old city. They park at a designated point such as Godowlia or Maidagin and guests walk the final stretch — typically ten to twenty minutes. Plan for it, especially with elders in the party.
